Consulting - Kordia Case Study
Jolene Currie, Kordia’s Records and Knowledge Management guru, believes that Information Leadership is unique in its knowledge transfer push and how it actions what needs to be done, rather than producing documents and charging for screeds of project management hours. “The team at Information Leadership has been upfront and honest in their approach. They tell it how it is and implement solutions straight away; they just get the job done.”
Information Leadership has been working with Kordia on its OneSource Project since late March this year and the project went live on Tuesday 28 July. Jolene said that the aim of the project was to turn out-of-the-box SharePoint into a useful tool across the whole business (New Zealand and Australia). Kordia’s wish list was to have one portal to access all company knowledge; a custom-made ‘Kordia Portal’. The portal needed to contain a document management system, a knowledge centre and a records management system for corporate documents in compliance with the Public Records Act (PRA).
“What we wanted was Kordia information at our fingertips, i.e. a really powerful search tool. We wanted to be able to collaborate and share information so we needed workspaces. We wanted to reduce duplication and know that documents were up-to-date, so we needed version control. We also needed staff working one way, the “Kordia Way”, so we were all on the same page.”
Jolene said that Kordia had SharePoint in place before Information Leadership came on board, but it was only delivering in a restricted area and didn’t enable Kordia to move forward or to work towards PRA compliance. Frustrating.
With Information Leadership’s assistance, there has been increasing buy-in and enthusiasm for the system amongst Kordia staff since ‘go-live’.
Jolene explained how Kordia selected Information Leadership.
Jolene had attended Bright Star courses where Sarah Heal was the course trainer. “Sarah’s sound knowledge of Information Management secured my faith in Information Leadership. I had also seen Jos Auker-Woor present the technical side of SharePoint, so I knew they weren’t short on skills.”
“We found we were often working laboriously, taking five steps to do what two simple steps would achieve. We were on a steep learning curve, so Jos really gave us a few ‘a-ha!’ moments,” said Jolene.
“Information Leadership is terrific at knowledge transfer. They are keen to see us learn and be aware of the system and its tweaks, by making sure we understand what they are doing from a technical perspective. This has been great learning for our team.”
This project has allowed Kordia to bring its various business systems and tools together on one platform, the KordiaPortal. “Now that we have a strong foundation set for records management, we can start to use it effectively. This is our main focus for the rest of the year in preparation for PRA 2010. A spin-off is that we are now receiving many requests from people within the business wanting SharePoint sites and tools for their teams, We’re not complaining though – it’s great to see the excitement is there!,” Jolene said.
